We respect your privacy and are committed to protecting your personal data. This policy explains how we collect and use information when you visit our website or book a course.

Who we are

Seasons Art Class East Croydon ("we", "us", "our") is the data controller for the personal information you share with us. Our studio is at Christ Church Methodist, Back Hall, 114 Lower Addiscombe Road, Croydon, CR0 6AD. Contact: seasonsartclasscroydon@gmail.com.

What we collect

  • Identity & contact details — name, email and phone number you provide on the enquiry/booking form. We do not collect or store home postal addresses.
  • Course & payment details — session chosen, invoice and payment history (we do not store card numbers — card payments are handled by SumUp).
  • Website analytics — anonymised usage data such as pages viewed, referring site and approximate location, used only to improve the site.
  • Emails & consent records — copies of communications you send us and any marketing preferences you indicate.

Why we use it (lawful basis)

  • Contract — to run your course booking, send invoices, welcome packs, receipts and term reminders.
  • Legitimate interest — to respond to enquiries, keep class lists up-to-date, and occasionally share news about future courses (you can opt out at any time).
  • Legal obligation — to retain financial records as required by HMRC (typically 6 years).
  • Consent — for photography of class work where your face is identifiable (we always ask first).

Who we share it with

We share the minimum necessary data with trusted service providers:

  • Google (Gmail SMTP) — to send your booking confirmations, invoices and reminders.
  • SumUp — to process card payments where chosen.
  • Starling Bank — to receive bank transfer payments.
  • MongoDB Atlas — to store bookings and student records (within the UK/EEA).
  • Our franchise parent — The Seasons Art Class UK Limited — only when necessary for auditing or service continuity.

We never sell your personal data.

How long we keep it

Enquiry and lead data: up to 2 years from last contact. Student and invoice data: 6 years after your last course, to meet accounting obligations. Marketing preferences: until you ask us to stop.

Your rights under UK GDPR

You have the right to access, correct, delete or port your personal data, to object to or restrict processing, and to withdraw consent at any time. Contact us at seasonsartclasscroydon@gmail.com and we'll respond within one month.

If you are not satisfied with our response, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
